Trustee Rights

Objective

In this exercise, you will learn about Trustee Rights and what they mean, how to update changes to a network user's rights and options, how to grant or revoke rights to a network user, and how to delete a user from Trustee Rights.

Note: This exercise is only applicable for network users of the Lacerte program.

Facts

View the Trustee Rights information in the Master Options. View the table in the Program Considerations below, compare the function of each trustee right to your current settings, and make any desired changes to your current configuration.

Program Considerations

Lacerte programs give network administrators the ability to grant and revoke each network user's rights to a program or feature. The program assigns these rights to a user when he or she enters the tax program for the first time.

 

Note: To fully use the Trustee Rights feature, the network administrator should set up individual login accounts for each Lacerte user. Refer to your network system documentation for specific instructions on setting up user login accounts.

Feature When enabled, allows the user to...
Program Access Start each of the nine Lacerte Tax programs: Individual, Partnership, Corporation, S-Corporation, Fiduciary, Estate, Gift, Benefit Plan, and Exempt Organization. If this option is disabled, the user cannot start the Lacerte Tax program(s).
Add/Adjust Clients Add, adjust, and print client information and client detail. Also controls the ability to bridge clients between the Corporation and S-Corporation programs.
Client Maintenance Backup, restore, delete, rename, and copy for any client file.
Adjust Client Status Change the status information for any client file.
Process/Print Returns Process tax returns from the Print menu or through the Forms tab process feature within the data entry screen.
Print Reports/Labels Print status reports, mailing labels, summary reports, custom reports, and client lists.
Adjust User Options Adjust Option settings.
E-Filing Send and receive tax returns through the Lacerte e-filing program
Remote Entry Processing Send and receive tax returns through Lacerte Remote Entry Processing (REP).
Invoice Setup Set up and adjust the Invoice feature of the program.
Proforma/Organizer Process tax clients through the Proforma/Organizer program.
Client Password Protection Assign passwords to clients in the Client list.
Lock/Unlock Return Lock or unlock a return to protect it from accidental changes after completion.
Lacerte Updates Check for updates with Lacerte. If the user does not have rights to Internet Updates, he or she cannot download, delete, or install updates.

How?

To update changes made to a network user's rights:

  1. On the Settings menu, click Master Options.
  2. Click the Trustee Rights tab.
  3. Click the user's name in the User Name list.
  4. In the Rights list, clear a check box to revoke rights, or select an empty check box to grant rights.
  5. Click OK to save changes.
  6. In the confirmation dialog, click Current Changes Only, and then click Yes.

To update Options after making changes for all network users:

  1. On the Settings menu, click Master Options.
  2. Make changes to the Master Options in the Setup, Trustee Rights, Status, Items to Print, Tax Return, Preparers, or Firm Info tabs.
  3. Click OK.
  4. In the confirmation dialog, select Reset All Options to reset all the Options for all users, or select Current Changes Only to update only the current changes to the Options for all users.

To delete a network user from Trustee Rights:

  1. On the Settings menu, click Master Options.
  2. Click the Trustee Rights tab.
  3. Select the name in the User Name list.
  4. Click the Delete User button.
  5. To delete a user from the current program's Trustee Rights User Name list, click Yes to Current Program . To delete a user from the Trustee Rights User Name lists in all installed tax programs, click Yes to All Programs .
  6. Click OK to save changes.
  7. In the confirmation dialog box, click Current Changes Only, and then click Yes.

If you accidentally delete a user from the list, you can do one of the following to restore the user's name:

Troubleshooting

Problem: I cannot adjust the Trustee Rights or Options.

Solution: Your rights to Adjust User Options have been revoked. See your network or program administrator.
